The end of key handovers in rental villas: remote code management
A flight landing at midnight, a guest who cannot collect the key, a spare key copied and never returned. With time limited codes, short term rentals lose all of these problems. Here is how to set it up.
For our customers running short term rental villas in North Cyprus, the biggest headache is not cleaning or bookings. It is the key. A guest landing at Ercan at half past two in the morning, an owner with nobody to hand over the key, a spare key that is never returned or quietly copied. Remote code management removes that whole chain.
How time limited codes work
For each booking you create a code for that guest only. It becomes active at check in time, say 15:00, and expires by itself at check out, say 11:00. The guest receives the code by WhatsApp or email and walks in without meeting anyone.
The next guest gets a different code. Even if the previous guest tries their old code, the door stays shut.
Online or offline?
There are two methods, and the difference matters:
- Online codes: the lock is connected to the internet over Wi-Fi or through a hub. You create, change or cancel codes instantly from the app.
- Offline codes: the lock is not connected. The app generates a code the lock recognises, valid for a set date range. This works where there is no internet or where the power often goes out, but cancelling a code before it expires is difficult.
Even during power cuts the lock keeps opening because it runs on batteries. Only remote management waits until the internet is back. That is why we recommend choosing an online system and keeping an offline code ready as a backup.
Cleaning and maintenance staff
Rather than giving cleaners a permanent code, set a recurring code that only works on certain days and hours. For example, Saturdays from 11:00 to 15:00. When staff change, you delete the code with one tap. No need to change the lock.
Entry logs
The lock records which code was used and when. When a guest checks out late, when someone asks whether the cleaners came, or in a damage dispute, the log gives you an exact date and time.
Without replacing the door
If your villa door uses a European profile cylinder, you can start with a smart cylinder that needs no drilling. For a keypad and fingerprint, the Keyva F1 fits on the door and opens with code, card, fingerprint and app. To manage several villas from one app, add a hub to each villa.
Checklist before installation
- Does the villa have fixed line internet, or a mobile modem?
- What is the door type and thickness?
- How many villas will be managed from one account?
- Who changes the batteries, and how often?
- Which channel will you use to send guests their code?
Every midnight drive to hand over a key is a day the system pays for itself.
